POSITION SUMMARY:

Under the guidance of the Accounting Manager, the Accounting Technician serves as the point of contact for organization-wide cash handling duties; records financial transactions and information; performs document reviews; provides support to the accounts receivable and accounts payable functions; and performs a variety of general office and administrative support tasks.

ESSENTIAL DUTIES:

  • Reconcile on a daily basis, cash, check, and credit card sales to accounting reports and prepare the Daily Sales Report (DSR);
  • Disburse cash advance and petty cash to internal customers; verify the accuracy of information provided on the form;
  • Count and verify cash in the cash advance, petty cash and general funds on a daily basis, immediately reporting cash shortages and overages;
  • Deposit checks remotely using the Desktop Deposit service; prepare cash deposits for pick up by armored courier or delivery to the bank;
  • Reconcile receipts to the cash advance and petty cash fund and replenish the petty cash fund as needed; ensure all supporting documentation is provided;
  • Maintain the gift card database; keep a perpetual inventory of the quantity and dollar amount of all gift cards stored in the safe; distribute gift cards to recipients;
  • Create and post journal entries; reconcile balance sheet accounts to the general ledger;
  • Process and record financial transactions and information in regards to disbursing monies; enter data and reconcile reports within the accounting system; and balance accounts;
  • Review accounting documents for accuracy, completeness, validity and adherence to standards;
  • Enter data, verify, reconcile, analyze, summarize accounting information, and maintain records;
  • Explain and clarify the USU Petty Cash Policy & Procedure to internal and external customers;
  • Prepare outgoing mail;
  • Provide administrative support to the accounts receivable, accounts payable and payroll functions;
  • Provide administrative support to the Associate Director, Accounting & Finance and the Accounting Manager including but not limited to: preparing presentations; conducting research; preparing memorandums; creating spreadsheets;
  • Perform other related duties as assigned.

QUALIFICATIONS:

Education:

Any combination of education and experience which provides the required knowledge and abilities.

Experience:

Equivalent to one (1) year of cash handling experience and/or clerical accounting, financial recordkeeping experience, that provides the required knowledge and abilities.

Preferred Qualifications:

  • Experience working with PeopleSoft

Knowledge, Skills and/or Abilities:

  • General knowledge of financial record-keeping, mathematical and general office methods, procedures and practices
  • Ability to review financial documents for accuracy, completeness, validity, and adherence to standards; compute and post numbers rapidly and accurately
  • Maintain files and records; identify, trace, and correct errors
  • Use current computer word processing and spreadsheet software programs, web browsers, query tools, integrated financial systems and/or other types of records management system
  • Follow directions; interpret and apply written rules and regulations
  • Provide high quality customer service
  • Ability to communicate effectively verbally and in writing
  • Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment
  • Establish and maintain effective working relationships with others; including the ability to exercise tact, courtesy, alertness, and good judgment in responding to others

WORKING CONDITIONS:

Work is generally performed in a temperature-controlled environment. Adherence to deadlines required. Contact with students, staff and the general public required. Must be able to work occasional evenings and weekends.

PAY, BENEFITS AND WORK SCHEDULE:

The anticipated hiring range will be as follows and is dependent on experience and qualifications:

Hourly:                $ 21.28 - $22.12

Bi-Weekly:           $1,702.15 - $1,769.23

Annually:             $ 44,256.00 - $ 46,000.00

The salary range of the position is as follows:

Hourly:                Minimum:  $ 21.28          Maximum:  $ 33.39

Bi-Weekly:           Minimum:  $ 1,702.15     Maximum:  $ 2,670.92

Annually:             Minimum:  $ 44,256.00   Maximum:  $ 69,444.00

HOURS: Full-Time; FLSA Non-Exempt; may include early mornings, late evenings and weekends.
