Montefiore has a fantastic opportunity for an experienced Administration Assistant to join their warm and friendly team at their Hunters Hill campus. You’ll play an integral role in the efficient running of the dementia specific unit in this rewarding and fulfilling position.


The Role:


Your primary role will be to assist and support the Executive Care Manager and Deputy Care Manager through secretarial, administration and clerical duties. 


Key duties will include, but are not limited to:  



  • Rostering

  • Recording and typing of meeting minutes and agendas

  • General office functions including mailing, photocopying, archiving, faxing and stationery orders

  • Preparing memos, letters and other correspondence

  • Process incoming accounts (including invoices)

  • Maintain client feedback box

  • Assist with general inquiries from Consumers

  • Communicate with Allied Health staff regarding appointments with Consumers

  • Issue employment packs to new employees

  • Maintain record of staff mandatory training, police checks and work rights

  • Ensure changes to Consumer details are updated across all nursing files

  • Ensure delivery of Consumer’s mail and newspapers

  • Liaise with housekeeping to ensure Consumer suites are ready for new admissions


Along with the essential criteria below, to succeed in this role, you will be friendly, helpful and be able to demonstrate a high level of customer service to both our internal and external stakeholders. You will have strong organisational skills and will be comfortable with using time and attendance software in order to assist with rostering staff.

  • Excellent verbal and written communication skills

  • Ability to work well independently and in a team setting

  • Strong attention to detail and the ability to work well under pressure

  • Effective time management and organisational skills

  • High level of computer literacy and ability to multi-task

  • Professional and courteous manner and good understanding of privacy principles
