Our office is looking for an Administrative Assistant who will be responsible for the day-to-day support of the Southern Pacific Offices. 

Job Duties & Responsibilities: 

  • Database maintenance and processing:
    • Maintain donor records including but not limited to: managing and updating membership information, generating reports, creating appropriate reports and lists to support development needs
    • Track system changes and report those changes back to the Operations Director
    • Process donations, pledges, checks received and credit card payments
    • Create and send invoices

  • Administrative support
    • Assist with donor research and data collection projects
    • Answer phones and direct calls to the right person
    • Complete and submit expenses
    • Monitor the general email inbox and general voicemail
    • Assist with regional mailings
    • Send regional emails
  • Meetings and Events:
    • Assist team members in preparation of materials for meetings and events
    • Attend and staff various local events as needed
    • Register and decline donor for virtual and in person events
  • Other duties as assigned

Qualifications & Skills:

  • Bachelor’s degree preferred, or commensurate experience
  • 1-3 years’ experience in a related field
  • Excellent interpersonal and communication skills.
  • Enthusiastic self-starter with a can-do attitude.
  • Perform calmly and efficiently in high-pressure, fast-paced situations.
  • Possesses the ability to “think on one’s feet”, multi-task and make thoughtful decisions with little direction in high-stakes situations.
  • Exhibit significant attention to detail
  • Previous experience handling multiple, time-sensitive projects with overlapping deadlines.
  • Excellent research and writing skills.
  • Passion for a strong U.S.-Israel relationship and knowledge of and interest in the Jewish community.
  • Fully competent in the Microsoft Office Suite (especially Microsoft Excel, Word and Outlook)
  • Salesforce and other CRM experience preferred

AIPAC is offering a competitive market base salary for this position between $50,000 and $70,000. A job offer will depend on how closely a candidate’s skills, experience and education match the requirements for the role.

In addition to salary, we offer a very generous benefits package and a hybrid work schedule of two days remote and three days in our offices.
