Administrative Assistant, Day School Initiative & Jewish Camp Enterprises

Full-time HYBRID (Mon, Tuesday + Thurs in office) 

Location: Whippany, NJ 

Salary: $50,000 - $52,000 + Benefits 

We're looking for an organized and proactive administrative professional to support our Day School Initiatives and Jewish Camp Enterprises teams of 5 people at our office in Whippany, NJ. The Day Schools team works together to improve the lives of the vibrant Jewish community in Northern NJ. You’ll be part of a robust team that works together to enable hundreds of local children each year to have transformative experiences at Jewish camps and day schools.

Jewish Federation of Greater MetroWest NJ is a nonprofit organization that serves the Jewish community in Essex, Morris, Sussex, Union, and parts of Somerset County in NJ. Our mission is to convene and lead our community to ensure the continuity and strength of the Jewish People, to support a secure Jewish and democratic State of Israel, and to care for Jews in need locally and around the world. Federation enables community members to engage in meaningful ways, impact the lives of others, and access valuable resources. 

What you'll be working on:

You will provide comprehensive administrative support to the Director of Day School Initiative, the Director of Jewish Camp Enterprise, and respective team members. You must be capable of working independently and establishing procedures to monitor your job activities and regulate tasks.  You should also be able to adapt to changes in priorities during the business day and handle multiple assignments. This role requires a broad range of skills that will interface with other departments, volunteer leadership, and donors within the community. These skills include, but are not limited to: 

  • Coordinating and monitoring appointments within the department's calendar  
  • Collaborating with the individual directors and team members
  • Process check requisitions and payments for both teams
  • Provide support in processing camp scholarship and grant applications
  • Assist with all preparation for Quest for Teaching Excellence program, especially the Quest Conference, working in tandem with the Quest Manager and Day School Program Manager
  • Assist with day school projects and innovations as they arise (Smart Move program, Tuition MAX, Vision 2030)
  • Managing department correspondence and well as preparing acknowledgment and tribute letters.   
  • Maintain department files and database inputs regularly

About you – preferred requirements for this role  

  • Proficiency in Microsoft Office (including Word, Excel, PowerPoint, and Outlook) 
  • Excellent written and telephone communication skills 
  • High level of attention to detail and organizational skills 
  • Ability to work independently as well as collaborate with a team 
  • You can think quickly on your feet and problem-solve as needed 
  • Willing to learn new systems and databases  
  • Adaptable to changing priorities during the business day   
  • Diligent in follow up
  • Will required availability to occasionally work on nights or weekends
