PART-TIME ADMINISTRATIVE ASSISTANT-- 20 HOURS a week at least 10 hours on-site in the suburbs of Wilmington.  

                                                                                                          

SUMMARY: The Administrative Assistant is responsible for providing confidential and professional level support to The Development department and Human Resources by managing and coordinating administrative and agency wide functions.  Provide administrative clerical support. 



RESPONSIBILITIES: 

Essential functions are performed on a frequent and recurring basis by the Agency Administrative Assistant including but not limited to: 

 

Administrative Office Tasks: 

Sort and manage mail daily. This includes sorting and documenting checks, entering information into Salesforce and distributing mail in a timely manner to each department.  



Take ownership of entering all data into Salesforce and ensure it is in accordance with “protocol” of system as directed.  



Coordinate Stewardship Correspondence: as directed by Director of Development through JFS donor database system. 



Complete and secure signatures for thank you notes, tributes, good and welfare letters, and reporting as assigned by the Development Manager. 



Update and maintain database as needed and according to established protocol.  



Assist with HR functions as needed, assisting with correspondence, benefits, filing, scanning and tracking  of employee documents. 



Updating employee sign-in sheets, room schedule, organizational chart, phone list, developing and running reports in Paycor as needed.  



Assist with special projects. 



Coverage of front desk as needed. 



Other duties as assigned.  



TRAINING, SKILLS, KNOWLEDGE, AND/OR EXPERIENCE: 



Demonstrate excellent judgment, interpersonal, written, and verbal communication skills with the ability to present effectively. Ability to be a team player, adapt to change and demonstrate flexibility. Demonstrated ability to maintain confidentiality in the organization.  



Effective time management with the ability to manage multiple projects with strong attention to detail and effective time management skills. 



Two to three years administrative assistant experience preferably at management or executive level.  



Experience writing and proofing business letters.  



Effectively utilize Microsoft Office suite and databases. Demonstrated skill set in MSOffice Suite.  Including Power Point, MSWord and Excell.  



Administrative writing skills, managing processes, organization, analyzing information, problem solving. 



 



EDUCATION REQUIREMENT: 



High School Diploma or GED required. 



College level or related technical school desired but not required.
