Position Summary:      



To provide support to students, faculty and staff in the Registrar’s office.



Position Responsibilities:




  • Process registration and changes of program on the computer

  • Answer phones, provide basic information with screening and routing of calls

  • File, as required

  • Perform basic secretarial duties, including word processing

  • Maintain student information on the computer and student transcripts

  • Assist students at the counter

  • Handle inquiries regarding graduates and former students

  • Process transcripts and checks for financial clearance

  • Process leaves of absence and name change forms

  • Process transfer credit evaluations

  • Post grades onto student records

  • Set up appointments for Assistant or Associate Registrar, as required

  • Process loan certifications

  • Prepare class and grade rosters and distributes to Deans and faculty

  • Generate and distribute computer reports, as needed

  • Process the course schedule for registration on the computer, including maintenance of the course master

  • Process grades and grade changes

  • Post degrees awarded and issue letters of rejection

  • Distribute grade rosters to faculty

  • Research and prepare report information for Registrar and Dean's Office

  • Prepare correspondence, as needed, for supervisor

  • Provide routine guidance of others as to job duties

  • Perform other related duties as assigned

    Interim Duties:



  • Perform degree audits that includes reviewing students’ records to determine that degree requirements have been met and processing degree conferrals for graduation

  • Create the course schedule including adding courses to catalog along with course descriptions, prerequisites, credits and setting up the courses for each term

  • Update the schedule with changes

  • Assign classrooms

  • Administration of all procedures associated with student registration including enabling online registration, setting up coding associated with registration, and managing the registration process

  • Respond to various questions from the schools’ administrative offices regarding students’ registration, enrollment and other issues that arise



Experience & Educational Background:




  • High School Diploma

  • 4 years of previous office experience in positions of increasing responsibilities is required



Skills & Competencies:




  • Knowledge of Registrar's office procedures

  • Skilled in record keeping and data entry

  • Must work accurately under pressure

  • Must be able to work with a minimum of supervision
