Position Title: Receptionist

Organization: Jewish Family Service of San Diego

Department: Operations & Organizational Capacity

Position Type: Full Time (37.5 hours per week), Non-exempt

Work Setting: Onsite

Schedule: Shift hours are from 8:30am-5pm (Monday-Thursday) and 8:30am-4pm (Friday)

Reports To: Director of Business Services

Pay Range: $19-$21/hour

Position Overview: 

The Business Services department is looking to add a receptionist to our team! This role is extremely important within the agency, as you are the first person to greet our clients and guests, the last to send them on their way, and the voice they get to know over the phone. You must love people and value great customer service to be in this position. You also must be great at multitasking, as you will often find yourself juggling multiple tasks. Applicants should be friendly, outgoing, enthusiastic, highly motivated and have a professional appearance and positive attitude. This position reports directly to the Director of Business Services and works closely with the entire Operations Division team.

Responsibilities:  

Reception Coverage

  • Greet and welcome guests in a warm, friendly manner
  • Check guests in and out appropriately, providing culturally sensitive support to all guests
  • Direct guests to the appropriate person or meeting room
  • Answer, screen, and forward incoming phone calls/voicemails/faxes in a professional manner
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g., brochures, forms)
  • Direct vendors/deliveries to the appropriate receiving area
  • Receive, sort, and distribute mail appropriately
  • Monitor the cleanliness and overall maintenance of the lobby area to ensure a welcoming environment for guests
  • Provide training and guidance to other reception team members as needed
  • Ensure compliance with organizational policies and procedures regarding visitor management and access control
  • Address and resolve issues or conflicts that arise in the reception area; escalating complex issues to the Director of Business Services as necessary

Safety & Security Support

  • Monitor campus security cameras and report any concerning findings to the appropriate stakeholders
  • Maintain good communication and rapport with campus security and program staff
  • Maintain office security by following safety procedures and controlling access via the reception desk
  • Be well versed with the agency’s safety & security protocols and be comfortable enforcing measures and protocols with staff and guests
  • Calmly and effectively manage conflict, including high stress and/or emotional situations
  • Work closely with the Director of Safety & Security to ensure all proper security protocols are always followed

Administrative Support

  • Keep calendar and reception documents updated
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing
  • Other similar job duties or projects as assigned and requested

Skills/Experience/Abilities That Are a Must-Have:

  • Must have a valid CA driver's license and valid insurance
  • Excellent verbal and written communication and interpersonal skills
  • Ability to work independently, sometimes with limited supervision
  • Good working knowledge of Office 365, specifically Teams, Excel, and Word
  • Treat others with respect; demonstrates sensitivity to and respect for cultural differences
  • Proven work experience as a Receptionist, Front Office Representative, or similar role is preferred
  • Hands-on experience with office equipment (e.g., fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills

Skills/Abilities We’d Like You to Have:

  • Speak two or more languages fluently
  • CPR/First Aid Certified
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
