We are looking to hire a Regional Program Coordinator to assist with the planning and execution of local in-person and virtual events and to perform tasks ensuring smooth back-end operations in the region.
Job Duties & Responsibilities:
- Assist the Regional Program Director with the planning and executing large in-person and virtual events for the Southern States Region.
- Facilitate the planning and execution of small in-person events, including but not limited to marketing, communications, vendor research and negotiation, day-of logistics, and creation and preparation of event materials.
- Attend and staff various local and national events.
- Maintain supply/organization of event materials.
- Process program related expenses and invoices.
- Coordinate speaker itineraries including booking hotels, flights, and local transportation.
- Assist Regional Operations Director in the daily management of the Florida office, including but not limited to preparation for internal meetings, collecting/sending/distributing mail, maintaining office organization/cleanliness and more.
- Develop proficiency in the use of AIPAC’s CRM database to manage member information and provide support to development staff.
- Other responsibilities as assigned.
Qualifications/Skills:
- Excellent interpersonal and communication skills.
- Highly motivated, enthusiastic self-starter with a positive can-do attitude.
- Extremely well organized and detail oriented with a commitment to consistent, outstanding quality.
- Able to perform calmly and effectively in high-pressure, fast-paced situations and able to adapt quickly to change and problem solve to address emerging challenges.
- Possess the ability to multi-task and make thoughtful decisions with little direction in high-stakes situations.
- Previous experience handling multiple, time-sensitive projects with overlapping deadlines.
- Excellent research and writing skills.
- 2-4 years of experience in events planning or a related field.
- Bachelor’s degree preferred.
- Passion for a strong U.S.-Israel relationship and knowledge of and interest in the Jewish community.
- Fully competent in the Microsoft Office Suite (especially Microsoft Excel, Word and Outlook) and able to learn new technology platforms easily.
