Pay Range: $28.64 - $31.83

Position Overview:


The SDRRN Supportive Services Program Assistant Coordinator is responsible for ensuring that the day-to-day inventory and finance tasks of the SDRRN Supportive Services – Migrant Shelter, are executed accurately and timely. This role reports to the SDRRN Supportive Services Program Assistant Manager and has two direct reports.


Responsibilities:



  • Responsible for overseeing the daily tasks of the Inventory and Finance Program Assistants, providing guidance, ensuring accuracy and compliance, and providing hands-on assistance as needed

  • In coordination with the Program Assistant Manager, develop and modify policies/procedures/systems in accordance with organizational needs and objectives

  • Support Program Assistant Manager with collecting data, creating, maintaining, and managing program Budget and Forecasting, strategizing ideas to cut costs and maintain operational continuity

  • In coordination with Program Assistants, review financial reports for accuracy, correcting errors when needed

  • Creates, maintains, and revises processes related to shelter finances

  • Assist with coding and reconciliation of shelter credit cards

  • Oversee internal program reconciliations of program invoices, auxiliary credit cards, gift cards, petty cash, cash disbursed/received, and guest expenses

  • Identify and resolve discrepancies in complex scenarios

  • Reviewing invoices and reimbursements, assisting with processing when needed

  • Produce high quality and accurate work, while meeting all required deadlines

  • Ensure high productivity standards while seeking ways to improve efficiencies

  • Maintaining positive and cohesive work environment

  • Responsible for ensuring successful implementation and inventory tracking systems for optimized inventory control procedures

  • In collaboration with Program Assistant, evaluate systems and processes, ensuring all inventory items are accounted for, received, and stored in accordance with shelter processes

  • Provide guidance and direction to staff members to ensure proper accountability of inventory, avoiding excessive surplus or inefficiencies when ordering new supplies

  • Ensure documentation of orders, shipments, and deliveries to replenish inventory

  • Ensure accurate reporting and record keeping including maintaining organized digital and physical files

  • Interface with JFS Accounting, Shelter Leadership, and other JFS departments related to day to day tasks

  • Support Program Assistant Manager with hiring and training new employees

  • Periodic travel to off-site locations. This position will be a back-up to the Program Assistant, which will require periodic onsite work

  • Cash handling as needed

  • Participate in required trainings



    Skills/Experience/Abilities That Are a Must-Have:  



    • Associate or bachelor's Degree in related field preferred and/or 2+ years of experience in related role

    • 1+ years supervisory and Leadership experience

    • Must have a valid CA driver's license, insurance, a reliable personal vehicle, and a willingness to travel off-site

    • Inventory Management experience including purchasing and tracking

    • Experience and understanding in the concept and implementation of budgeting and forecasting

    • Highly detailed with excellent analytical skills and logical thinking

    • Proven superior organization, time-management skills, and recordkeeping

    • High Proficiency in Microsoft Office (Excel, Word, Outlook, Teams) and general computer/internet use.

    • Strong ability to manage multiple tasks and deadlines in a timely order in a continually changing work environment

    • Must be proficient in English with excellent verbal and written communication skills and have ability to maintain professionalism and positive interpersonal interactions

    • Proven ability to streamline systems and increase efficiency and operational flow

    • Ability to maintain the highest levels of confidentiality and discretion

    • Commitment to excellence and ability to provide high quality work

    • Sensitivity to cultural differences present in the service population


    Skills/Abilities We’d Like You to Have:



    •  Bilingual/Spanish Fluency Preferred

    •  Emergency Management Experience preferred, but not required.

    • Ability to work a flexible schedule   

    • Skilled in managing community relations including conflict resolution

    • Pushing – Using upper extremities to press against something with steady force in order to thrust forward, downward or outward 

    • Pulling – Using upper extremities to exert force in order to draw, haul or tug objects in a sustained motion 

    • Lifting – Raising Objects from a lower to a higher position or moving objects horizontally from position to position 

    • Grasping – Applying pressure to an object with the fingers and palm 

    • Hearing – Perceiving the nature of sounds at normal speaking levels with or without correction. Ability to receive detailed information through oral communication 

    • Repetitive Motion – Substantial movements (motions) of the wrists, hands and/or fingers
