Summary

Position Summary
Provides excellent customer service to patients, co-workers, physicians, and outside personnel, ensuring smooth scheduling and coordination of Lung Cancer Screening (LCS).  Responsible for processing patient referrals, verifying eligibility, and maintaining accurate patient data.  Assists with marketing and outreach, ensuring program operations are effective, and supporting research and grant activities.

Essential Duties

  1. Provides excellent customer service to patients, co-workers, physicians, clinical staff, NJH affiliates, and outside contract personnel.
  2. Assists with scheduling initial, interval, and follow-up appointments for clinical and contract patients for Lung Cancer Screening CT and Shared Decision-Making appointments with Advanced Practice Providers. 
  3. Responds to and facilitates patient referrals by entering physician orders and clinical details into the Registration Order Entry system in a timely and accurate manner. Transcribe faxed orders. Reviews non-LCS chest CT orders to determine if they should be LCS and confirms with ordering provider. Corrects if ordered incorrectly. 
  4. Completes intake questionnaire with patients to verify program eligibility. Collects all necessary patient demographic, insurance and clinical information and updates changes when needed. Ensures appropriate patient demographics are entered with the order to ensure Radiologists have adequate clinical history. Maintains a patient database for tracking new and follow-up patients. 
  5. Serves as the main point of contact to enroll, schedule and troubleshoot problems for contract patients. Updates referring clinics, physicians, and programs of patients’ status.
  6. Works with Utilization Management to request authorizations from insurance providers that require pre-authorization for LCS. Updates patients and providers when the CT coverage is denied, or additional information is required. 
  7. Maintains friendly, confident, open, diplomatic, effective communication with patients to inspire continued program participation. Maintains communication with patients to keep them informed of the status of their appointments.
  8. Re-engages no call/no show patients each month to reschedule CTs for their lung cancer screenings or diagnostic follow-up CT exams.
  9. Performs data collection into REDCap and other software for metrics reporting to appropriate entities such as the American College of Radiology and other stakeholders.
  10. Attends and contributes to internal and external team meetings. Reports number of scans performed each month to LCS committees. Documents positive versus negative scans and other quality metrics as needed. Brings infrastructure updates to meetings to ensure ongoing program improvement.
  11. Supports weekly Suspicious Nodule Conference including preparation of weekly spreadsheet with calculation of individual patient lung cancer risk and nodule risk of malignancy, and summation of agreed upon recommendations made by the multidisciplinary team. Invite relevant providers to attend the Nodule Conference. Notifies relevant providers with post conference recommendations. Attends Nodule Conference in person and confirms recommendations with radiologist running the conference. 
  12. Serves as a resource to patients, clinical staff and community regarding the purpose and details of lung cancer screening while acting as a problem solver with patients, clinical staff, and departments to ensure that the highest level of customer service is provided.
  13. Consults with appropriate departments to ensure key components of the LCS program work as designed.
  14. Works with key personnel in Radiology to identify avenues for community outreach and educational events including identifying funding resources to support community outreach efforts.
  15. Assists with marketing, networking, and communicating with community stakeholders and partners.
  16. Maintains appropriate level of knowledge regarding clinical operations, insurance procedures, and clinical terminology through ongoing training and attending external training opportunities such as the quarterly best practices meeting with other LCS program staff hosted by the American Cancer Society. Maintains an appropriate level of expertise with the Registration, Scheduling, Electronic Medical Record system, and necessary databases.
  17. Supports research and grants related to lung cancer screening including chart review, data entry, community outreach as needed.
  18. May lead specific projects or tasks as assigned.

Minimum Qualifications

  1. Education: High school diploma or equivalent required. Bachelor’s degree preferred.
  2. Work Experience: A minimum of 3 years customer service experience required. Experience in health care environment preferred. Patient scheduling experience preferred.

Salary Range: $23.00 - $28.00
