POSITION OVERVIEW
Provide comprehensive administrative support to Curriculum and Integration Team; support school-wide events, programs and administration. This administrative assistant reports to the Head of Curriculum and Integration.

RESPONSIBILITIES

  • Provide a full range of administrative support including clerical, document proofing, document branding, phone calls and messages, calendaring, and electronic messaging for the Integration Team and all related programming.
  • Support Instructional Team by overseeing financial reimbursements for faculty’s professional development through outside vendors, including the Builders of Jewish Education (BJE). 
  • Interact and problem-solve with students, parents, and faculty regarding communication with the Integration Team. 
  • Proactively manage various pieces of the Integration Team’s portfolio, including workflows, communications, databases and other applications, reporting, event planning, projects, communications, etc.
  • Support divisional trips (8th, 10th, 12th) by working closely with our Israel Program Coordinator; this includes partnering with our travel agent to oversee tickets and passports, managing the departure day logistics (event set up, name tags, bus/transportation).  
  • Provide logistical support for special programming (Areivut and Ahavat Yisrael Weeks; Grade 8 Israel Seminar) by managing room reservations for lunch and learns, partnering with the Guerin team to print signs and posters, distributing the schedule of sessions, managing visit details of guest speakers, communicating logistics to program leaders and calendaring sessions in Google, etc. 
  • Be an adult presence in the US Library space to help maintain a professional learning decorum.
  • Other related duties as assigned.


QUALIFICATIONS

  • Four years of experience as an administrative assistant in a professional setting.
  • Proficiency with Mac, Google Workplace, standard office equipment.
  • Experience working independently and as a highly collaborative team player.
  • Experience operating with and ability to maintain strict confidentiality.
  • Experience planning, prioritizing and leveraging strong organizational skills.
  • Strong interpersonal, verbal and written communication skills and able to interact effectively with a wide variety of people/roles.
  • Strong attention to detail.
  • Ability to work in an office environment with frequent interruptions.


SALARY RANGE: $65,000 - $70,000
