Williams College is looking for a Chaplains’ Office Administrative Assistant to provide administrative support for the chaplains for 20 hours a week. The Administrative Assistant reports directly to the Chaplain to the College, The Rev. Valerie Bailey. The Administrative Assistant also supports all of the chaplains and acts as hub to support the chaplains as they provide pastoral and spiritual care for all Williams students, faculty and staff and the Chaplains’ Office Religious and Spiritual Life Groups.

Responsibilities
Administrative Support
manages telephone communications and administrative inquiries and issues
Greets and directs visitors
Serves as a primary point of contact and liaison between the office, students, and the non-Williams community on day-to-day issues and inquiries as needed
Coordinates and schedules chaplains’ appointments and/or travel arrangements; arranges transportation for students and religious student groups.
Oversees the use of the Thompson Memorial Chapel and the Jewish Religious Center and coordinates the calendar for use of space in these buildings for college services and events which includes marriages, funerals, and memorial services.
Processes payments, reimbursements and deposits.
Coordinates and oversees the day-to-day management of supplies, equipment, and facilities for the office, the Thompson Memorial Chapel and the Jewish Religious Center.
Submits work orders for office and building repairs, key requests, pick-up and delivery of college furniture, and custodial assistance.
Event and Meeting Planning:
Schedules and reserves space for meetings and special events
Coordinates special setup requests for events
Attends weekly staff meetings and other meetings and workshops as appropriate
Provides administrative support and follow-up on matters arising from these meetings
Major Event support including coordination between offices and managing event logistics.
Qualifications
An Associate’s degree plus at least 2 years of relevant experience, or equivalent combination of education and experience.
Customer service experience and interaction with faculty, staff, and students from diverse backgrounds is strongly preferred.
Familiarity with Google Suite programs, or similar.
Application review will begin on August 16, 2024, and will continue until the position is filled. Pay range is from $20 to $23 per hour, commensurate with experience.
