JF&CS is now seeking a full time Clinical Receptionist.


PURPOSE

As an ambassador of First Impressions, we are seeking a full-time clinical receptionist who is an excellent communicator, demonstrates compassion and discretion, and embraces the wide community of clients that are served at JF&CS. The receptionist is responsible for all aspects of the general and clinical reception areas.

     

ESSENTIAL DUTIES AND RESPONSIBILITIES 

  • Open and/or close the clinical or general reception area(s).
  • Ensure that the reception area(s) are kept orderly.
  • Be available to cover the main reception desk as needed.
  • Answer all incoming phone calls and route them to the appropriate employee. Provide backup for general reception during the day to answer incoming calls.
  • Monitor the voicemail system, clinical fax, clinical emails and route messages to the appropriate employee.
  • Greet clients and visitors, creating a warm and welcoming atmosphere.
  • Operate security doors to ensure safety by confirming guest appointments.
  • Inform staff of their visitors/clients by phone and/or email.
  • Monitor daily appointments through scheduling software. Update client information, working closely with the Billing Specialist to ensure accurate fees.
  • Communicate and be proactive with clinical staff to ensure the best client experience.
  • Assist in billing of appointments, addressing any balance inquiries or billing issues that may occur.
  • Ensure accuracy of payments, both private pay, grant and insurance fees, and process payments using payment software and tools.
  • Follow all agency & HIPAA guidelines regarding confidentiality.
  • Sort and deliver incoming mail as needed.
  • Work with standard office equipment such as fax/copy/scan equipment, postage machine, and other basic office equipment.
  • Work closely with volunteers and provide all necessary training when needed.
  • Make waitlist calls.
  • Follow all agency & HIPAA guidelines regarding confidentiality
  • Perform other duties as assigned.

Qualifications:

  • High school diploma or equivalent.
  • Previous experience in a receptionist or administrative role preferred.
  • Excellent verbal and written communication skills.
  • Proficiency in using office equipment and scheduling software.
  • Strong organizational skills and attention to detail.
  • Ability to handle multiple tasks and prioritize effectively.
  • Knowledge of HIPAA guidelines and confidentiality practices.

Mathematical Skills: Ability to calculate figures and amounts. Ability to apply concepts of basic algebra and accounting.


Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to make a decision or solve a problem by using logic to identify key facts, explore alternatives and provide quality solutions.


Other Skills and Abilities: Must be computer literate.  Must be proficient with software packages such as Microsoft Office, Windows 10, Teams, Outlook. Must be detail oriented. Must be able to work with or contribute to a work group or team to complete an assigned task. Must present in a professional manner utilizing appropriate communication, dress and appearance.  Must be able to plan, organize and prioritize time and workload in order to accomplish tasks and meet deadlines.  Must be able to deal with people in a manner that shows sensitivity, tact and professionalism. 


Computer Skills: Comfortable with basic computer programs.

EDUCATION and/or EXPERIENCE:

2+ years experience. High School Diploma or equivalent



Candidates who are selected for employment must successfully complete a pre-employment background screening as well as a pre-employment drug screening. Employment will be contingent upon the satisfactory completion of both the background check and the drug screening. Additionally, if applicable, tuberculosis testing (TB) and fingerprinting may also be required.
