LOCATION 

DOROT is headquartered on the Upper West Side of Manhattan and the team works on a hybrid schedule. The Program Administrator, Volunteer Services will be expected to work in the office 2 days per week (currently Mondays and Wednesdays, but subject to change) and as business needs require. All staff members are required to be fully vaccinated for COVID-19.

ABOUT THE VOLUNTEER SERVICES (VS) DEPARTMENT 

The Volunteer Services department plays a crucial role in fulfilling DOROT’s mission by facilitating meaningful connections between older adults and volunteers. The department oversees all aspects of volunteer management systems and policies, recruitment, orientation, onboarding, training, recognition, and overall volunteer statistics and outcomes to support DOROT’s efforts to measure program impact.  The VS portfolio also includes a variety of programs such as Package Delivery, Cemetery Visits, Response Team, Tech Coaching and Caring Calls. 

 

THE OPPORTUNITY 

Reporting to the Manager of Occasional Visiting Programs, the Program Administrator is a multi-functional position that performs a combination of administrative and programmatic responsibilities that focuses primarily on Caring Calls and Response Team which foster vital one-on-one social and supportive connections between older adults and adult volunteers. This position will help coordinate and implement key components of these occasional volunteer programs and may also be required to contribute to any of the other programs within Volunteer Services, based on the needs of the department and the overall goals of the VS department. 

 

PRIMARY RESPONSIBILITIES 

  • Support the Caring Calls and Response Team experience for prospective and current older adults and volunteers: 
    • Monitor and respond to incoming referrals and requests from colleagues, older adults, and community partners.   
    • Onboard and register new volunteers and older adults to the programs. 
    • Post volunteer opportunities and track visits on Mon Ami, DOROT’s volunteer software platform.   
    • Notify volunteers and older adults of new matches/appointments and help troubleshoot communication challenges.  
    • Review volunteer and older adult feedback forms, respond to questions, and collaborate with staff on addressing concerns. Select quotes for reporting needs.   
    • Conduct outreach to program participants for deeper engagement.   
    • Maintain and make recommendations on ways to improve administrative systems for greater efficiency and effectiveness.   
    • Order program supplies and oversee inventory and distribution to volunteers and older adults.   
                  • Engage with internal and external constituents on a wide range of matters; communicate clearly and positively both verbally and in writing with older adults and volunteers.  
                  • Co-facilitate monthly adult volunteer orientation sessions. 
                  • Support Volunteer Services’ administrative needs including the Package Delivery programs.  
                  • Input data and ensure data is entry is timely and correct in DOROT’s Client Information Management System (Salesforce), Mon Ami, and Excel spreadsheets.   
                  • Provide logistical support for marketing, outreach and other aspects of program operations.  
                  • Complete other duties as assigned.  

                   

                  REQUIRED QUALIFICATIONS  

                  • A minimum of 1 year of professional experience and/or related experience working with volunteers, older adults and/or non-profit organizations 
                  • Demonstrated ability to proactively solve problems and to work independently and as a collaborative team member 
                  • Strong organizational, administrative, and customer service skills  
                  • Clear written and verbal communication skills 
                  • Availability to work 10-12 evening and Sunday hours for volunteer orientations/ events and agency-wide Package Delivery programs per year  
                  • Proficient in use of MS Office Suite, primarily Word and Excel 
                  • Experience with Salesforce data entry and knowledge of databases a plus

                  This position is non-exempt, and candidates can expect an annualized base salary between $42,000-$48,000 commensurate with experience.
