Temporary Administrative Coordinator

Location: Hybrid (Remote and On-Site)

Hours: generally, 3-5 hours per week, additional hours during peak program times

Duration: One-year, gift-funded position

About Us:

Brandeis University is delighted to announce an exciting career opportunity as a Temporary Administrative Coordinator for the Brandeis University Presidential Initiative to Counter Antisemitism in Higher Education. Founded in 2023, this initiative was created in response to the rising tide of antisemitism on American campuses. This Presidential initiative honors Brandeis’ commitment to the Jewish community and the values of higher education.

As a research institution, Brandeis University is uniquely positioned to examine antisemitism on campuses and develop data-driven responses. Our initiative aims to enhance understanding of antisemitism in all its forms and empower leaders to challenge it on their campuses. We strive to:

  • Convene and support university leaders in a common cause.

  • Raise awareness and sensitivity regarding antisemitism, including its intersection with antizionism, in higher education.

  • Partner with expert researchers and practitioners to deepen understanding.

  • Provide tools and resources for data-driven, action-focused practices.

  • Create communities of practice to share innovations and network with colleagues.

Key Responsibilities:

  • Serve as the primary contact for processing honoraria, reimbursement payments, billing/invoicing, procurement or P-Card reconciliation in Coupa, and related office expense operations.

  • Perform a variety of routine to complex administrative support duties, including compiling and maintaining recruitment and email lists, with minimal direction.

  • Maintain contact list management, arrange speaker travel, and provide logistical and on-site support for seminars and institutes (name tags, compiling bios, schedules, printing, etc.).

  • Establish and build positive working relationships with internal and external contacts.

  • Work on projects related to more intensive seminars and institutes that ramp up in the spring and summer, with flexibility to work additional hours during peak times. May need to be on-site for events as needed.

Requirements and Qualifications:

  • Strong organizational and communication skills, with excellent interpersonal abilities.

  • Strong problem-solving and customer relations skills, with the ability to work independently and take direction.

  • Demonstrated knowledge and experience using MS Office Suite and  using Brandeis Coupa and related systems preferred.
